The leasing process begins before the first message arrives. A complete listing, consistent questions and an organized handoff can prevent repeated work. Build a process people can understand and document decisions using relevant, permitted information.

Answer the first questions in the listing

Show the actual unit, state what is included, explain availability and give visitors a clear next step. Match the floor plan, photos and written description. When details change, update the original listing and your inquiry notes together so applicants are not relying on an earlier promise.

Use a consistent review process

Define the information you actually need before collecting documents. Apply relevant criteria consistently, allow applicants to clarify discrepancies, and keep a record of the review. Avoid treating a score as a complete description of a person; check local privacy and human-rights requirements before adopting screening rules.

Make the handoff explicit

Keep the signed agreement, confirmed dates, payment instructions and maintenance contact together. Separate optional rent protection from the lease itself. A protection product needs its own eligibility review, coverage confirmation and terms; a completed lease alone does not establish coverage.

Common questions

Can an applicant score replace verification?

No. Verify permitted information and give applicants a chance to clarify inconsistencies. A score is one input, not an automatic decision.

Does RentFlow remove every property risk?

No. Rent protection depends on eligibility, activation and contractual coverage. Maintenance, vacancy, damage and other risks need to be considered separately.
