Address the applicant’s actual question before asking for a full application. Confirm the unit and intended move-in date, then offer realistic viewing times. Review applications consistently
Use the same lawful review process for every applicant, while allowing appropriate clarification and accommodation. Keep facts and decisions separate from informal impressions. When a unit becomes unavailable, close the listing and update open conversations promptly. Document the handoff to lease preparation so accepted applicants are not left wondering what happens next.
