Confirm the accepted terms
Before preparing documents, check the unit, parties, rent, start date and agreed inclusions against the accepted application. Resolve differences in one place. Keep draft and signed versions clearly separated so nobody relies on an outdated document. Local lease requirements still apply even when the preparation process is digital.
- Check unit and applicant details
- Confirm dates, rent and inclusions
- Identify the final version
Separate signatures from readiness
A signature is an important milestone, but the operational handoff also needs access arrangements, payment instructions and contact details. Confirm who is responsible for outstanding tasks. Avoid marking every step complete just because a lease document was sent. Record actual completion and tell the renter what remains.
- Track sent and signed separately
- Assign outstanding move-in tasks
- Confirm the first contact for questions
Transfer context to the management team
Prepare a concise handoff with the signed agreement, unit details, move-in plan and unresolved items. Share only the information the receiving team needs. If rent protection is part of the arrangement, verify its approval and effective date independently. A completed lease does not by itself prove protection has activated.
- Share the signed agreement securely
- Include unresolved operational items
- Confirm protection status from the relevant agreement
