A portfolio becomes easier to run when each unit has one reliable record and each recurring task has an owner. Start with the records, then connect monthly routines. Useful automation depends on accurate inputs and a clear exception process.

Create one dependable unit record

Use stable property and unit identifiers. Separate current lease facts from historical transactions, and reconcile opening balances before importing them. Store the source and date of an important figure so another team member can check it without searching old messages.

Budget for an ordinary year and a difficult one

Model scheduled rent, a vacancy assumption, operating expenses, debt payments and a reserve separately. A positive operating result can still produce negative cash flow after financing and capital work. Test higher costs and slower occupancy before deciding how much cash is available to distribute.

Close the loop on requests and protection

Record each maintenance request with the unit, issue, urgency, assigned person and next update. Keep completion evidence instead of simply marking a task closed. Review any rent-protection conditions against the actual lease and follow the reporting process specified in the agreement.

Common questions

Is net operating income the cash I can withdraw?

Not necessarily. Debt payments, capital spending, reserve contributions and taxes can reduce cash available. Keep those items separate from ordinary operating expenses.

Should imported history trigger payments?

No. Review imported records and reconcile them first. Azyba portfolio imports do not themselves initiate payments or send invitations.
