Review the equipment issue and scheduled access, then share a clear account of the work performed. Use this guide before a new assignment, then return to it when the scope or schedule changes. Confirm the details with your client and record who owns the next step.

Build a useful job brief
Use these questions during intake. Record the answers, the person responsible and any unresolved decision in the job record before confirming the next step.
- 1
What equipment model, symptom and service history are available?
- 2
Are roof, mechanical-room or tenant access arrangements needed?
- 3
Which measurements, replaced parts and maintenance interval should the technician document?
Scheduling
Plan seasonal visits around each property’s availability. Assign a technician, record the equipment location and prepare a recurring series where repeat service is agreed. Review the schedule when access changes rather than leaving a stale appointment.

Keep equipment photos, service observations and supporting documents with the job. Identify which unit each record concerns, especially at multi-unit properties. A teammate returning later should be able to distinguish completed maintenance from recommended follow-up.

Quote additional work separately from the scheduled maintenance. Connect the invoice to the completed visit and record partial payments against the balance. Confirm the next service date with the client before creating another recurring series.

Put the plan into practice
Start with one client record and one clearly scoped job. Link the service address, relevant files and agreed next action. Review the plan with the assigned teammate before the first visit, and update the record when the client approves a change.
